Property Administrator

Our client with property management requires a Property Administrator to join their team. Working with a lovely team, this role will support property administration and tenant relations.

Responsibilities :

  • Serving as point-of contact for tenants and superintendents
  • Distribution of rent notices or invoices
  • Scheduling and following up on maintenance requests and repairs
  • Coordinating access for vendors/contractors to properties
  • Scheduling property tours
  • Coordinating changes in utilities accounts
  • Assisting with rent collection and follow-up
  • Maintaining tenant contact information reports
  • Maintaining contractor contact information reports
  • Collecting invoices from vendors and providing to accounting for payment
  • Follow-up with tenants on insurance certificates as required
  • Providing assistance to Property Manager as required

Qualifications:

  • High school diploma or equivalent required; post-secondary education in Business Administration, Real Estate, or a related field is an asset.
  • 1–3 years of experience in an administrative role, preferably within property management, real estate, or a related industry.
  • Basic understanding of real estate/property management principles and local tenancy laws.
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with property management software (e.g., Yardi, AppFolio, Buildium, MRI) is a strong asset.
  • Excellent verbal and written communication skills to interact professionally with tenants, vendors, and management.
  • A polite, patient, and professional demeanor when handling tenant inquiries or complaints.
  • Strong ability to multitask, prioritize tasks, and manage a busy calendar of scheduling and follow-ups.
  • High accuracy in maintaining reports, handling invoices, and tracking insurance certificates.
  • Ability to think quickly and coordinate solutions efficiently, especially regarding maintenance emergencies.
  • Adaptable and willing to support the Property Manager and wider team as priorities shift.
