Personal Assistant

Our client is seeking an experienced and highly organized Personal Assistant to provide dedicated support to a busy executive. This is a unique opportunity for someone who enjoys a dynamic role that combines executive support, personal organization, project coordination, and relationship management.

The successful candidate will act as a trusted support partner, helping manage priorities, organize schedules, coordinate commitments, and proactively identify opportunities to improve efficiency. This role requires someone who can think ahead, exercise sound judgment, provide thoughtful recommendations, and take ownership of a wide variety of professional and personal responsibilities.

The ideal candidate is proactive, resourceful, confident, and comfortable managing tasks independently from start to finish.

Responsibilities :

Schedule & Priority Management

  • Work closely with the executive to organize daily, weekly, and monthly priorities.
  • Help evaluate competing commitments and recommend how time and resources can be best allocated.
  • Anticipate upcoming needs, deadlines, and priorities to ensure time is focused effectively.
  • Provide a thoughtful perspective by helping assess priorities, identify efficiencies, and recommend improvements.

Relationship & Vendor Management

  • Act as a trusted representative when communicating with vendors, contractors, service providers, and other third parties.
  • Manage external communications, follow-ups, scheduling, and coordination to ensure commitments are handled efficiently.
  • Support discussions and negotiations where appropriate, ensuring clear communication and positive outcomes.
  • Build and maintain strong professional relationships with internal and external stakeholders.

Administrative & Personal Support

  • Manage a variety of administrative and organizational tasks to support day-to-day efficiency.
  • Coordinate appointments, meetings, scheduling, and personal or professional commitments.
  • Assist with document preparation, organization, filing, returns, purchases, and other administrative needs.
  • Ensure follow-ups and action items are completed without requiring ongoing direction.

Project Coordination & Planning

  • Coordinate projects, events, and activities by managing timelines, communications, and logistics.
  • Research information, gather details, and prepare concise verbal and written summaries.
  • Identify opportunities to introduce processes, tools, and technology solutions that improve efficiency.
  • Utilize technology and AI tools where appropriate to streamline workflows.
  • Assist with organizing materials and completing administrative tasks related to projects and priorities.

Qualifications:

  • Significant experience in a Personal Assistant, Executive Assistant, Chief of Staff, or similar role supporting a senior professional.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Excellent written and verbal communication skills, with the ability to summarize information clearly and effectively.
  • Strong judgment, discretion, and professionalism when handling confidential information.
  • Ability to work independently, anticipate needs, and take initiative without requiring frequent follow-up.
  • Comfortable providing recommendations, asking thoughtful questions, and offering alternative perspectives.
  • Strong research and problem-solving skills.
  • Proficiency with Microsoft Office Suite and familiarity with AI tools and emerging technologies.
  • A valid driver’s licence and access to reliable transportation are required due to the nature of the role, including travel between multiple locations.
