Tenant Account & Lease Administrator

Our client within real estate and located in Mississauga is seeking a Tenant Account & Lease Administrator to join their team. This role is responsible for the financial accuracy and optimization of the property portfolio’s income. The role sits at the intersection of accounting and operations.

This role will be responsible for ensuring accurate rent rolls and renewals, tenant profiles inclusive of rent and other charges, security deposits, and tenant payments. The role also ensures that operations staff follow revenue-related policies and procedures in line with applicable residential tenancy legislation.

Responsibilities :

  • Financial Record Management: maintain accurate entry of lease documents, renewals, and tenant profile updates
  • Tracking the effectiveness of pricing strategies.
  • Reducing the incidence of outstanding or delinquent accounts.
  • Ensuring all lease terms, including adjustments and renewals, are executed

without error.

  • Manages the lease renewal process
  • Support the preparation of Above Guideline Increase (AGI) filings and assist in annual property budget forecasting.
  • Support the Operations team with tenant inquiries regarding operating costs,

realty taxes, and utility billings to maintain professional relationships.

  • Oversees preparation and timely submission of collection packages.
  • Prepare bank deposit and post prior tenant collection agency cheques
  • Prepare and maintain Above Guideline Increase (AGI)/legislated rent reduction
  • Excel schedules for proposed and approved rates and related tenant correspondence
  • Manage the end-to-end process of utility payments with tenants, including invoicing of tenants and transferring tenants register to utility direct billing
  • Prepare and updates pre-authorized payment files.
  • Post NSF payments
  • Coordinate with Accounts Payable for the issuance of tenant cheques (e.g. rent or other refunds, deposit interest)
  • Reconcile and maintain tenant ledgers, applying charges and credits as needed
  • Other work as assigned

Qualifications:

  • Bachelor’s degree or College Diploma in Accounting, Finance, Business
  • Administration or a related field
  • Minimum 2 years in accounting or property administration
  • Experience in real estate or property management an asset
  • Good understanding of accounting principles, lease administration and collections
  • Excellent Microsoft Office skills, particularly Excel
  • Strong communication and interpersonal skills
  • Strong analytical and problem-solving skills
