EA to Senior Partner

Our client is seeking an Executive Assistant to support a Senior Partner in the Toronto office. This role provides high-quality, proactive, value-added administrative support in a fast-paced environment. The Executive Assistant will be a valued member of the team and will contribute to the overall success of the Senior Partner’s office.

Responsibilities :

  • Provide critical daily support to the Senior Partner, demonstrating poise, tact, and diplomacy
  • Assess the urgency and importance of situations and take appropriate action
  • Manage the Senior Partner’s calendar by scheduling appointments, adjusting meetings as required, planning ahead, and anticipating needs; maintain a system to track items requiring follow-up and follow-through
  • Plan and coordinate logistics for special projects and events
  • Prepare business communications, draft reports, background documentation, conduct research, and prepare and review initial drafts of presentations and other internal materials
  • Maintain a strong working knowledge of the firm’s structure, including external organizations related to the Senior Partner’s line of business, key personnel, and organizational policies and procedures
  • Develop relationships with internal stakeholders across the firm
  • Represent the Senior Partner’s office in a manner consistent with their approach and leadership style
  • Act as a resource to both internal and external contacts
  • Serve as a liaison between executives, clients, and colleagues to facilitate collaboration and achieve objectives
  • Manage multiple competing tasks and priorities, maintaining focus on deadlines while supporting the Senior Partner in doing the same
  • Provide meeting support, including preparing agendas, recording minutes, tracking action items, and coordinating logistics
  • Support the Senior Partner in holding others accountable to timelines and commitments by ensuring appropriate follow-up
  • Manage calls, mail, emails, meetings, and domestic and international travel for the Senior Partner, including coordinating events originating from the role
  • Assist with department budget management activities, including preparing and submitting expense reports and creating spreadsheets
  • Utilize the firm’s technology and tools effectively and efficiently
  • Perform additional administrative tasks and other duties as assigned

Qualifications:

  • Experience in a legal or professional services environment is highly preferred
  • 10+ years of professional experience, including a minimum of 5 years supporting a senior executive
  • Strong client-facing experience is required
  • Bachelor’s degree preferred, or an equivalent combination of education and experience
  • Superior interpersonal, organizational, time management, and communication skills (verbal and written), with professional phone and email etiquette
  • Advanced proficiency in Microsoft Office and strong aptitude with technology
  • Exceptional attention to detail, including proofreading and accuracy
  • Ability to take initiative, work independently with minimal supervision, and prioritize effectively
  • Ability to meet deadlines and perform well under pressure
  • Confident, trustworthy, flexible, and reliable
  • Strong multitasking skills with the ability to adapt to changing priorities
  • Resourceful and flexible, with the ability to work overtime as required
  • Highly motivated, proactive, and an enthusiastic team player
  • Demonstrated commitment to privacy and ethical conduct
