Executive Assistant

Our client is seeking a high-calibre Executive Assistant to support the Chief Talent Officer. The successful candidate will bring a high degree of professionalism, exceptional organizational and planning skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This individual will also be highly relationship-oriented and capable of building strong partnerships across various teams and stakeholders.

 

The role will involve supporting the Chief Talent Officer and team with administrative coordination, project support, agenda preparation, presentations, and documentation. As the leadership team frequently collaborates across multiple offices, this position requires someone who is adaptable, proactive, and able to work effectively with a broad range of internal stakeholders. A high level of anticipation, problem-solving, and discretion is essential.

Responsibilities :

  • Provide high-level administrative and project support to the Chief Talent Officer, including complex calendar management, meeting coordination, and responding to general inquiries
  • Coordinate projects by preparing agendas, tracking action items, and supporting timelines and deliverables
  • Prepare presentations, reports, and project-related materials
  • Manage team documentation and content, including organization, storage, and retention compliance
  • Complete expense reporting and oversee invoice management across multiple platforms
  • Coordinate travel arrangements and provide support while team members are travelling
  • Build and maintain strong working relationships with internal and external stakeholders, including senior leadership and board members
  • Coordinate meeting logistics, including room setup, technology readiness, and guest coordination
  • Arrange candidate interviews and contribute to a positive candidate experience throughout the recruitment process

Qualifications:

  • Bachelor of Commerce or equivalent preferred
  • Minimum 5 years of experience in a comparable executive support role within a fast-paced, corporate environment
  • Demonstrates professionalism, integrity, diplomacy, sound judgment, and confidentiality
  • Strong organizational and multitasking abilities with the capacity to manage competing priorities
  • Confident communicator with strong interpersonal and written communication skills
  • Resourceful, adaptable, and proactive approach to work
  • Warm, polished, and approachable demeanor
  • Strong proficiency with Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint
  • Flexibility to support occasional needs outside standard business hours or travel within the GTA as required
