Facility Services Coordinator

Our client is currently seeking a Property and Facility Services Coordinator for their Markham office. The coordinator is responsible for managing the day-to-day activities to support clients, property managers, various facilities, and projects.

Responsibilities :

  • Managing residential, multi residential and commercial properties throughout Canada
  • Coordinate property management and facility services for allocated file count
  • Liaise with clients, homeowners, Tenants, Field Inspectors, suppliers
  • Maintain up to date property management information for each property
  • Maintain internal and external property management systems
  • Review property reports and findings and provide recommendations to client
  • Ensure Tenant satisfaction with premises
  • Communicate with Tenants on day-to-day issues; rectify Tenant issues
  • Delegate and assign after hour emergency calls to applicable trade or authority
  • Coordinate property inspections
  • Implement rental process, credit, and reference reviews.
  • Coordinate Tenant renewals and rental increases
  • Coordinate tasks in preparation for Landlord and Tenant Board matters
  • Management of repairs and maintenance
  • Liaise with accounting department to ensure accounting matters are completed
  • Provide applicable reports to accounting team
  • Maintaining effective communication between Tenants, management, and owners
  • Ensure all service contracts are up to date
  • Client needs analysis
  • Assist with vendor management
  • Responsible for processing and assigning service requests to contractors and service technicians.
  • Responsible for scheduling all tasks related to property maintenance.
  • Manage and follow up on work progress and completion.
  • Manage contractor and service provider trade certificate, insurance, and worker compensation certificate.
  • Address emergency requests in a timely manner.
  • Ensure all priority work orders are addressed and completed as assigned.
  • Monitor the work order management system for all incoming service requests.
  • Create purchase orders, process invoices, and ensure vendors are paid in an accurate and timely manner.
  • Obtain and process contractor quotes and proposals.
  • Report monthly on KPIs related to work order performance.
  • Serve as the point of contact for suppliers, subcontractors, and clients for the coordination of services.

Qualifications:

  • Post-secondary education or equivalent working experience in facility and/or property management field.
  • 3-5 years’ experience working with property management, or facilities management, or contractor management, and/or project coordination.
  • Excellent project management and time management skills.
  • Superior verbal and written communications skills.
  • Customer focused.
  • Being bilingual is an asset.
