Executive Assistant

Our client within private equity requires an Executive Assistant to join their team. This role reports into the CFO. Success requires exceptional organizational skills and discretion to expertly manage complex executive support and office operations, especially within a fast-paced finance environment.

Responsibilities :

Executive Support:

  • Manage complex calendars, including scheduling meetings, calls, and travel across multiple time zones
  • Coordinate domestic and international travel (flights, accommodations, ground transportation)
  • Prepare and edit correspondence, reports, presentations, and other documents
  • Handle confidential information with discretion and professionalism
  • Support investor relations and fundraising activities (e.g., coordinating meetings with investors, distributing materials as required)
  • Track and follow up on key deadlines, action items, and ongoing projects
  • Assist with event planning and coordination for board meetings, offsites, and investor meetings

Office Management:

  • Oversee the day-to-day operations of the office, ensuring a professional, efficient, and welcoming environment
  • Manage relationships with building management and service providers
  • Maintain office inventory, order supplies, and ensure equipment is properly maintained
  • Coordinate onboarding/offboarding for new hires (workspace setup, IT provisioning, etc.)
  • Plan and coordinate company events, team meetings, and employee engagement activities
  • Ensure compliance with health and safety regulations and office policies

Expense Administration:

  • Support expense reporting for employees, including gathering receipts, coding, and timely submission
  • Track and categorize business expenses for accurate reporting and budgeting
  • Liaise with the finance team to ensure expense policies are followed and financial records are up to date

Qualifications

  • Bachelor’s degree or equivalent work experience
  • 5+ years of experience as an Executive Assistant supporting senior executives; experience in private equity, investment banking, or asset management preferred
  • Excellent written and verbal communication skills
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with tools like DocuSign, Zoom, and CRM systems is a plus
  • Highly organized with exceptional attention to detail
  • Ability to work independently, exercise sound judgment, and manage time effectively
  • Professional demeanor and strong interpersonal skills
  • Comfortable in a hybrid work environment; flexible and adaptable
