EA to CEO

Our client within OOH media requires an Executive Assistant to join their team. The Executive Assistant provides direct support to the CEO across scheduling, communications, project work, and stakeholder coordination. The role operates within a small team environment where initiative and judgment are expected over process. The incumbent must be able to anticipate needs, manage competing priorities, and maintain a high level of organization and discretion at all times.

Responsibilities :

Executive Support & Scheduling

  • Manage the CEO’s calendar, including prioritization of meetings, resolution of conflicts, and protection of time for focused work
  • Coordinate travel arrangements: flights, accommodations, ground transport, and itineraries
  • Track commitments, action items, and follow-ups arising from meetings and communications
  • Prepare briefing notes and background materials in advance of key meetings and events
  • Organize leadership team meetings including agendas, logistics, notes, and follow-through on action items

Communications

  • Draft correspondence, responses, and communications on behalf of the CEO as directed
  • Assist with organizing and managing email volume; flag priority items and support follow-up as needed
  • Consolidate inputs and prepare materials for board reporting and executive-level summaries
  • Serve as a professional point of contact for customers, partners, and stakeholders on behalf of the executive

Project Support

  • Take on defined project tasks or workstreams with accountability for delivery, not coordination only
  • Track status across active priorities and keep the CEO informed without requiring follow-up
  • Support preparation of research, synthesis, and draft materials for internal or external use
  • Coordinate across functions to move work forward and maintain timelines
  • Identify issues or delays early and bring forward options, not just the problem

 

Stakeholder & Team Coordination

  • Coordinate across the leadership team to align schedules, share information, and support decision-making
  • Manage logistics for leadership, customer-facing, and board meetings at a level appropriate to the audience
  • Liaise with external contacts and customers on behalf of the CEO; manage follow-up as required
  • Maintain awareness of key relationships and flag when follow-through or re-engagement is needed

Legal & Confidentiality

  • Handle agreements, board materials, and sensitive correspondence with appropriate care
  • Coordinate with Legal or external counsel to ensure the executive has required documentation and context
  • Recognize when matters have legal or regulatory dimensions and flag accordingly
  • Maintain strict confidentiality across all aspects of the role as a baseline expectation

Technology & AI

  • Use AI tools to support drafting, summarizing, organizing, and other core work tasks
  • Identify opportunities to streamline or improve how routine work is completed
  • Adapt to evolving tools and platforms as the team’s ways of working change

Qualifications:

  • Minimum five years of experience in an executive support role, preferably supporting a senior leader in a fast-moving environment
  • Demonstrated ability to manage competing priorities and changing timelines with minimal oversight
  • Strong written communication skills; able to draft clearly and accurately in someone else’s voice
  • Experience contributing to project deliverables, not only coordination or scheduling functions
  • Proficiency with productivity tools and comfort adopting AI-assisted workflows
  • Exposure to legal concepts including contract review, confidentiality obligations, and compliance basics
  • Experience with board or executive governance processes
  • Background in a professional services, corporate, or similarly demanding environment
