AP Associate

Our client within property management requires an Accounts Payable Associate to join their team on a 13-month mat leave contract. They are seeking a detail-oriented Accounts Payable Associate to support the financial operations of four student housing properties. The successful candidate will be responsible for the timely and accurate processing of vendor invoices, employee reimbursements, and payment requests, while ensuring compliance with internal controls. This role plays a key part in supporting smooth day-to-day operations and maintaining strong vendor relationships.

Responsibilities :

  • Process accounts payable, including vendor invoices and cheque requests. Prioritize emergent payable needs on short notice.
  • Process a high volume of cheques during property turnover season(s).
  • Verify invoice accuracy and ensure necessary approvals are in place.
  • Ensure timely and accurate payments to vendors and service providers via cheque, EFT, or other approved methods.
  • Monitor the accounts payable inbox and respond to inquiries professionally and promptly.
  • Reconcile vendor statements and resolve discrepancies proactively, keeping accounts in good standing.
  • Assist with month-end close by providing required documentation as requested.
  • Work closely with the Property Accountant to ensure there is sufficient funds for payables.
  • Ensure compliance with internal controls, company policies, and audit requirements.
  • Support year-end audit preparation and provide requested documentation as needed.

Qualifications:

  • 2+ years of accounts payable experience in property management.
  • Post-secondary education in accounting, finance, or related field preferred.
  • Familiarity with accounting software systems; experience with Entrata is an asset.
  • Strong attention to detail and ability to manage multiple deadlines across different properties.
  • Excellent communication and organizational skills.
  • Ability to work both independently and collaboratively in a fast-paced, deadline-driven environment.
