Assistant Property Manager

Our client within property management requires an Assistant Property Manager to join their team. Working with a lovely team, this role will support property management and tenant relations.

Responsibilities :

  • Serving as the first-point-of contact for tenants and superintendents
  • Responding to tenant inquiries and resolve issues/concerns in a timely manner
  • Ensuring tenants are in compliance with lease terms
  • Distribution of any rent notices or invoices
  • Scheduling and following up on maintenance requests and repairs
  • Coordinating and overseeing maintenance work on properties
  • Coordinating access for vendors/contractors to properties and identifying potential maintenance issues
  • Assisting with leasing of vacant spaces
  • Scheduling property tours
  • Coordinating changes in utilities accounts (move-out/in, new property acquisitions or dispositions)
  • Assisting in change-over of tenancies
  • Assisting with rent collection and follow-up
  • Assisting with preparing quarterly property reports and annual budgets
  • Maintaining lease files and records
  • Maintaining lease status and tenant receivable reports
  • Maintaining tenant contact information reports
  • Collecting invoices from vendors and providing to accounting for payment
  • Assisting with property tax appeals in coordination with external consultants
  • Providing assistance to Senior Property Manager as required

Qualifications:

  • Post-secondary degree or diploma in Business Administration, Real Estate, Finance, or a related field.
  • 2–4 years of progressive experience in commercial or residential property management.
  • Proven experience assisting with lease administration, tenant relations, and building operations.
  • Experience assisting with financial reporting or budget preparation is highly preferred.
  • Strong capability in Microsoft Office
  • Hands-on experience with property management and accounting software (e.g., Yardi, MRI, AppFolio, or JD Edwards).
  • A solid foundational understanding of building systems, preventative maintenance, and vendor management.
  • Strong interpersonal skills with the ability to tactfully enforce lease compliance and resolve tenant concerns de-escalate issues effectively.
