Client Care Database Associate

Our client within residential condominium development requires a Client Care Database Associate to join their team. This role will report to and work with the Director of Sales, Marketing & Client Relations and will require working in tandem with various internal teams including accounting, sales, legal and construction.

Responsibilities :

Client Relations

  • Liaise with purchasers and co-broke agents for the entire duration of the project, from the time of sale and during construction, through the occupancy period and into final closing.
  • Field questions from and maintain regular communication and excellent rapport with buyers. This includes responding to and redirecting inquiries to the Vendor’s office, sending all required formal/mass notices regarding changes in Tarion Critical dates (e.g., Occupancy dates), providing informal quarterly construction updates, and liaising with the onsite construction client care team regarding décor selections, PDIs, and move-in dates.
  • Field questions from co-broke agents (and their deal administrators) relating to the status of commission payments and work with the accounting and sales teams to provide appropriate updates.
  • Review pre-construction legal documents such as Agreements of Purchase and Sale, related amendments and addendums, Statements of Adjustments, and leases as required.

Database Management

  • Maintain detailed and up-to-date electronic databases and electronic purchaser files.
  • Review the APS and input data into the master database as provided initially by the sales team.
  • Update the database on a monthly basis with information and changes provided by the sales team.
  • Follow up with the sales team (and lawyer’s office as needed) regarding amendments, changes in deposits, additional changes to the APS, and address/email changes.
  • Review deposit reconciliations (completed by the accounting team) against the master database from time to time.
  • Review décor agreements (suite finishes and upgrade selections documentation) as provided by the construction décor team and input completed décor agreement data into the master database.
  • Manipulate and share data from master files and the database between related parties, as needed.

Qualifications:

  • 2-3 years of experience working in a Client Care role, experience as a legal admin or clerk with condo experience considered a asset
  • Familiar with pre-construction legal documents such as agreements of purchase & sale and related amendments and addendums would be a strong asset (but not a requirement)
  • Solid understanding of the condo buying lifecycle
  •  Excellent interpersonal and communications skills (written and oral)
  •  Highly proficient in excel and word (use of mail merge to send regular mass notices)
  •  Friendly and patient when dealing with difficult clients.

  • Exceptional organizational skills
  • Strong time management skills
