Executive Assistant

Our client within real estate private equity requires an Executive Assistant to join their team. As a trusted partner, you will manage complex scheduling, meetings, and information flow while supporting the coordination and execution of corporate strategy initiatives, leadership planning sessions, and organizational updates. You will also act as Board Secretary for the Foundation, supporting governance and operational activities.

Responsibilities :

  • Provide high-level administrative and strategic support to the HR & Strategy leadership team, including calendar management, meeting coordination, and preparation of materials and presentations.
  • Manage complex scheduling, travel arrangements, and quarterly planning meetings to ensure alignment on priorities and deliverables.
  • Prepare agendas, minutes, and follow-ups for leadership and team meetings; maintain organized systems for key documents and communications.
  • Support with LinkedIn and external communications to strengthen leadership presence.
  • Coordinate internal and external meetings, events, and special projects; provide occasional personal assistance to the HR & Strategy leadership team.
  • Coordinate and support the execution of the corporate planning cycle, quarterly check-ins, and annual leadership offsites, including agendas, materials, logistics, and follow-ups.
  • Monitor progress on strategic initiativess providing updates, identifying risks, and supporting accountability.
  • Create and design presentations, strategy updates, and internal communications to ensure alignment and engagement across the organization.
  • Manage logistics and communications for company-wide meetings and organizational updates, including post-meeting summaries and feedback surveys.
  • Collaborate with leaders across departments to gather, compile, and format annual plans, key priorities, and organizational updates.
  • Serve as Board Secretary for the Foundation, managing meetings, materials, minutes, and action tracking.
  • Partner with Executive Directors to support operational activities, fundraising, and donation initiatives.
  • Maintain records of donors, vendors, and partners; coordinate invoicing with Finance.
  • Support ad-hoc projects and ongoing administration to advance the Foundation’s goals.

Qualifications:

  • Post-secondary education in Business Administration, Communications, or a related field required; a university degree preferred.
  • Additional training or certification in project management, executive administration, or corporate communications is an asset.
  • 5–7 years of progressive experience supporting senior executives or C-suite leaders in a fast-paced, dynamic environment.
  • Proven experience coordinating strategic initiatives, corporate planning processes, or cross-functional projects.
  • Demonstrated ability to manage executive scheduling, correspondence, and meeting preparation with a high degree of professionalism and discretion.
  • Experience supporting or coordinating corporate strategy, board governance, or philanthropic/foundation initiatives considered an asset.
  • Strong understanding of organizational structures, communication protocols, and executive-level priorities.
  • Exceptional organizational and time management skills with the ability to balance multiple priorities and deadlines.
  • Strong written and verbal communication skills; able to draft, edit, and format executive-level correspondence, presentations, and reports.
  • High attention to detail and accuracy, with sound judgment and decision-making abilities.
  • Proactive, resourceful, and solution-oriented—comfortable operating with a high degree of autonomy.
  • Demonstrated professionalism, discretion, and ability to handle confidential information.
  • Strong relationship-building and collaboration skills across levels and functions.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel), Teams, and other productivity or project management tools.
