Executive Assistant

Our client located in Burlington is seeking an Executive Assistant to join their team. Working within the clean energy sector, the company is seeking an experienced and proactive Executive & Personal Assistant to provide high-level support to the CEO.

This role demands a detail-oriented and highly organized individual who can anticipate the needs of both the CEO and the business, ensuring seamless management of their time, priorities, and relationships. The ideal candidate will have a strong ability to handle sensitive information, manage complex schedules, and act as a gatekeeper, all while maintaining professionalism and confidentiality.

Responsibilities :

  • Take full responsibility for the CEO’s complex calendar, ensuring that meetings, appointments, and priorities are aligned with business needs. Proactively resolve scheduling conflicts and prioritize high-impact meetings, while adapting to last-minute changes with ease.
  • Management of the CEO’s inbox, prioritize and flag important communications, ensuring that time-sensitive matters are addressed promptly.
  • Draft and proofread internal and external communications on behalf of the executive(s). Monitor and triage email correspondence, escalating as appropriate.
  • Coordinate and manage tasks and deliverables, ensure that delegated responsibilities are clearly assigned to the team while keeping track of progress and action items. Status back with CEO in a timely and frequent basis to provide an update on key deliverables.
  • Organize global travel for the CEO (flights, accommodations, transportation, reservations, meals etc.) and ensure that all details are meticulously planned and executed.  Keep up to date with top restaurants and hotels for best of service stakeholder engagement.
  • Prepare and reconcile expense reports in a timely manner.
  • Organize logistics for meetings and events, including agendas, materials, room bookings, and catering.
  • Prepare and format documents and presentations for internal and external meetings.
  • Maintain organized digital and physical filing systems.
  • Serve as a point of contact for internal and external stakeholders, representing the executive office with professionalism.
  • Exercise discretion and professionalism when handling confidential and sensitive information.
  • Act as the point of contact when the CEO is unavailable. Handle requests from senior personnel and external stakeholders on their behalf, ensuring important matters are prioritized and addressed.
  • Assist the CEO with personal support including scheduling of medical appointments, dinner reservations, research for personal travel, creating trackers for insurance renewals, passports, annual tax document prep, gifting, and personal errands as requested.
  • Undertake additional tasks as needed, providing flexibility and support to the CEO and the wider team.

Qualifications:

  • Completion of post secondary education
  • Proficiency in all Microsoft office tools (Word, Excel, Powerpoint, Outlook)
  • 5+ years experience working in a office setting supporting an executive team
  • Strong work ethic – hardworking, enthusiastic, calm and resilient individual
  • Possesses strong follow up on projects to drive action items
  • Positive attitude with a willingness to provide the highest levels of internal and external client service
  • Team-player, willing to help colleagues on ad hoc tasks
  • Self-starter, able to take the initiative and work independently
  • Flexible, proactive and positive approach
  • Strong organizational skills with attention to detail
  • Takes responsibility/ownership and accountability for work completion
  • Proven experience supporting senior executives.
  • Strong communication and interpersonal skills
  • Ability to handle high-pressure situations with professionalism and discretion
  • Demonstrated problem-solving skills and a proactive approach to work
  • A love (or like) of dogs
