Client Service Associate

Our client within investment management requires a Client Service Associate to join their team. The Client Associate plays a critical role in supporting client relationships and investment operations within the firm. This position serves as a primary point of contact for client service requests and operational support for portfolio management activities. The ideal candidate is highly organized, detail-oriented, client-focused, and capable of managing multiple priorities in a fast-paced investment environment.

Responsibilities :

Client Service & Relationship Support

  • Act as a primary contact for client inquiries and service requests.
  • Respond promptly and professionally to client requests regarding account information, documentation, transactions, and general administrative matters.
  • Maintain regular communication with clients and assist in coordinating meetings, reviews, and follow-up activities.
  • Prepare and process account documentation, including account openings, updates, transfers, and client instructions.
  • Ensure client records are accurate, complete, and maintained in accordance with regulatory and company standards.
  • Assist portfolio managers, and operations managers in delivering exceptional client service.

Trading & Investment Operations

  • Prepare trade sheets and trading documentation based on portfolio manager instructions and investment strategies.
  • Review trade requests for accuracy, completeness, and compliance with internal procedures.
  • Coordinate with portfolio managers, traders, custodians, and operations teams to facilitate trade execution.
  • Verify trade details and assist with post-trade processing and reconciliation activities.
  • Monitor settlement activities and investigate and resolve trade-related discrepancies.
  • Maintain records of trade activity and supporting documentation.

Administrative & Operational Support

  • Support the onboarding of new clients and the transfer of assets.
  • Assist with the preparation of client reports, portfolio reviews, meeting materials, and presentations.
  • Maintain client databases, CRM systems, and document management systems.
  • Ensure all activities are conducted in compliance with regulatory requirements, firm policies, and industry best practices.
  • Participate in process improvement initiatives to enhance efficiency and client experience.

Qualifications:

Education

  • Bachelor’s degree in Business, Finance, Economics, Accounting, or a related discipline preferred.
  • Successful completion of the Canadian Securities Course (CSC)

 

Experience

  • 2-5 years of experience in client service, wealth management, investment management, private banking, or financial services.
  • Experience supporting investment advisors, portfolio managers, or trading operations is considered an asset.

 

Skills & Competencies

  • Strong client service orientation and relationship management skills.
  • Excellent verbal and written communication abilities.
  • High attention to detail and strong organizational skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Knowledge of investment products, securities markets, and portfolio management processes.
  • Proficiency with Microsoft Office Suite, particularly Excel and Word.
  • Experience with CRM systems, portfolio management platforms, and custodial systems is preferred.
  • Strong problem-solving skills and a proactive approach to client support.
