Administrative Coordinator

Our client, a multi-partisan organization is seeking an Administrative Coordinator to join their team. This role will be the backbone of the team, enabling staff to achieve their goals by providing the support and structure they need to succeed.

Reporting to the National Director of Outreach and Programming, the Administrative Coordinator will support all aspects of operations, including outreach, events, fundraising, and finance. The ideal candidate will exercise good judgment in a variety of situations, with strong written and verbal communication skills, excellent organizational abilities, and the capacity to manage competing priorities. This person will thrive in an entrepreneurial environment and excel at bringing order to a busy office.

Responsibilities :

  • Maintaining an orderly office environment and serving as a central point of contact for guests and staff
  • Answering phones, responding to emails, and directing inquiries
  • Scheduling appointments and managing calendars
  • Preparing reports, manuals, correspondence, and other documents
  • Maintaining agendas and minutes for staff meetings
  • Ordering and maintaining office supplies
  • Coordinating maintenance and repairs for office equipment
  • Updating the CRM database and maintaining accurate contact lists
  • Managing cheques, invoices, and bank deposits as needed
  • Supporting events, including booking venues, coordinating vendors, tracking RSVPs, and managing speaker logistics
  • Preparing materials for events and meetings
  • Managing program applications, including collecting forms and scheduling interviews
  • Booking travel and accommodations
  • Coordinating mailings and preparing related materials
  • Working closely with the Executive Assistant to support organizational needs
  • Other administrative duties as assigned

Qualifications:

  • Three to five years of experience in an administrative role
  • Strong ability to prioritize and manage multiple deadlines
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and SharePoint
  • Experience with CRM systems; Salesforce is an asset
  • Ability to learn new systems and tools quickly
  • Familiarity with the Jewish community or Canadian political landscape is considered an asset
