Administrative Assistant

Our client, a Family Office based in Toronto, is currently seeking an experienced Administrative Assistant to support their Executive Assistant and team with a wide range of administrative duties.

 

In this role, you will be responsible for managing tasks ranging from document management to coordinating meetings to ensuring the smooth operation of the office and more. Strong organizational skills paired with the ability to juggle multiple tasks while remaining focused will be essential to your success. The ideal candidate for this role will have excellent communication skills and take pride in being discreet, with a strong understanding of the necessity for confidentiality. Responsibilities :

  • Working with the document management system, taking an intuitive approach; including preparing documents for scanning, uploading digital scans to the document management system, and creating folders to file documents accordingly
  • Researching/contracting vendors and contractors for any office inquiries (phone setups, office equipment installations, and ordering any new office furniture
  • Creating spreadsheets and locating documents in the system
  • Maintaining the office inventory list – ordering office supplies, coffee and snacks
  • Preparing courier shipments and distributing mail accordingly in the office
  • Handling all catering requests for the office and setting up boardrooms for catered lunches
  • Relaying information regarding notices, events, and messages to staff
  • Calendar management for Executives for business and personal matters in the Executive Assistant’s absence.

Qualifications:

  • 5+ years of experience as an Administrative Assistant
  • Demonstrated administrative experience with document management and general support functions
  • Strong attention to detail and highly organized
  • Must maintain confidentiality and discretion regarding all work-related matters
  • Quick learner who is adaptable to a variety of systems and
  • Advanced with all MS Suite tools (Word, Excel, Outlook etc) and Adobe Acrobat
