Executive Assistant (Contract)

Our client within insurance requires an Executive Assistant to join their team on an 18-month contract basis. This role will provide day-to-day support to the Executive Team. This role will require attention to detail, strong organizational skills, and the ability to meet tight deadlines while managing multiple critical requests across the organization.

This role will act as a seamless extension of the Executive Team while exercising confidentiality, tact, composure, and discretion.

This role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the Executive Team. The successful candidate will possess the ability to complete complex tasks quickly and with little guidance and react to matters with the appropriate level of urgency. The Executive Assistant will work successfully in a team environment and build effective and collaborative working relationships inside and outside the team, while maintaining professionalism and a passion for making things better.

Responsibilities :

  • Partner with the Executive Team to increase efficiency while consistently maintaining strong communication skills with a continuous improvement mindset.
  • Lead calendar management/planning and act as a gatekeeper in the prioritization of meetings and managing of scheduling conflicts.
  • Assist with meeting preparation, including preparing/obtaining materials in advance, and distributing materials to the appropriate individuals. Obtain appropriate support for virtual attendees and other meeting logistics.
  • Act as a liaison for the Executive Team’s direct reports and team members.
  • Prepare, update, and organize information for inclusion in reports, correspondence, presentations, budgets, project boards, etc. and edit documents for accuracy, format and arrange materials.
  • Perform project management. Track and help drive completion of key deliverables. Follow up on outstanding items and escalate as necessary.
  • Coordinate and/or assist with team meetings (staff meetings, all-employee meetings, quarterly on-sites/off-sites, team gatherings, etc.) May assist with event planning.
  • Optimize travel arrangements (transportation, accommodations, agenda) based on the Executive Team’s travel requirements. Manage complex itineraries, including any changes. Enable remote decision-making. Processes expenses.
  • Welcome and assist planned guests and manage unannounced visitors.
  • Sort, screen and distribute incoming and outgoing mail/email. May highlight particular information of interest and/or curate reading material. Provide phone coverage and screen/triage calls and voice mail.
  • Provide guidance and back up support for other Administrative Assistants, as required.
  • Other duties as required.

Qualifications:

  • Post-secondary education (University or College) is an asset.
  • A minimum of seven years of relevant administrative experience, including prior experience providing support at the executive level.
  • Excellent communication skills.
  • Flexible and adaptable with the ability to manage complex projects and respond to change.
  • Experience within large, matrixed organizations as well as more nimble start-up environments would be considered an asset.
  • Excellent organizational skills, time management skills and attention to detail, including the ability to anticipate needs and be proactive in a fast-paced, agile work environment.
  • Detail oriented, and an experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining the appropriate level of flexibility.
  • A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives internally and externally is critical.
  • Comfortable working with new technology platforms, and particularly strong knowledge of Microsoft software applications such as: Outlook, Word, Excel, and MS Project.
  • Strong technical and design capabilities in Microsoft PowerPoint.
  • Formal project management training would be an asset.
