Executive Assistant

Our client, a boutique investment firm requires an Executive Assistant to join their team. This role requires a highly organized, proactive, and discreet Executive Assistant to support a dynamic global executive who travels extensively across time zones. This is a pivotal role requiring a master of logistics, communication, and judgment. You will be the right hand to the executive — anticipating needs, managing priorities, and ensuring seamless daily operations both locally and abroad.

Responsibilities :

Executive Support

  • Manage complex calendars across time zones, including frequent last-minute travel changes
  • Book global travel (commercial), visas, accommodations, and itineraries
  • Prepare briefing documents, presentations, and post-meeting summaries
  • Act as gatekeeper and liaison between the executive and internal/external stakeholders
  • Handle confidential information with the utmost discretion

 

Office Management

  • Oversee day-to-day operations of a small Toronto office with a London, UK office as well
  • Manage vendors, supplies, tech, and any in-office service providers
  • Coordinate team events, offsites, and occasional personal tasks
  • Handle expense reports, reimbursements, and light bookkeeping tasks
  • Set up systems and processes for efficiency and scale

Qualifications:

  • 5+ years supporting a C-level executive or founder
  • Proven ability to manage international travel and multi-time zone scheduling
  • Experience running a small office or managing logistics independently
  • Tech-savvy: Outlook, ChatGPT, Zoom, Notion, etc.
  • Impeccable written and verbal communication skills
  • Extreme attention to detail and commitment to follow-through
  • Highly professional, discreet, and calm under pressure
