Executive and Personal Assistant

Our client, a Toronto-based multi-strategy hedge fund requires an Executive and Personal Assistant to join their team. Supporting the CIO, this is not a conventional or purely executive assistance role, as the Executive Administrative Coordinator will sit at the center of the CIO’s professional and personal world — managing senior relationships, executing flawlessly on logistics and operations, and ensuring that every dimension of his professional and personal life runs with precision and follow-through.

 

The ideal candidate should think strategically and execute operationally. You will prepare the CIO for the highest-stakes rooms and handle complex personal and logistical coordination on a timely, efficient and accurate basis. This role demands someone who is as comfortable synthesizing an investment briefing as they are managing a family travel itinerary. For candidates that are alumni of top-tier management consulting, investment banking, or strategy functions who also bring real organizational instincts and high touch personal service experience, the role will offer daily access to the CIO and exposure to an exceptional platform that would otherwise be unavailable through similar professional networks.

Responsibilities :

Stakeholder Management & Senior Relationship Support

Act as a trusted representative of the CIO’s office with senior stakeholders, partners, and key contacts:

  • Serve as a professional and polished point of contact for senior internal and external stakeholders, managing communications with discretion and sound judgment.
  • Draft and refine emails, summaries, communications, and event materials on behalf of the CIO, including liaising confidentially with senior executives, board members, family offices, LP contacts, and high-profile individuals across professional and social contexts.
  • Build and maintain a living stakeholder map of the CIO’s most important relationships: who they are, what they care about, and what the next touchpoint should be.
  1. Meeting Preparation, Follow-Through & Calendar & Schedule Management
  • Ensure the CIO walks into every high-stakes room prepared and polished:
  • Own and manage the CIO’s multidimensional calendars with a strategic lens: anticipating and resolving scheduling conflicts proactively across time zones, prioritizing high-value commitments, and ensuring time is allocated appropriately given the priority of various professional, personal and philanthropic commitments.
  • Coordinate closely with internal teams, clients, and partners to confirm internal and external meeting logistics and ensure the CIO is fully prepared for every engagement.
  • Prepare agendas, presentations, background research, run-of-show documents, briefing notes, event
  • outlines and any other preparation materials so the CIO is equipped for every engagement.
  • Track action items and follow-ups from key meetings, ensuring commitments are executed with full accountability.
  • Maintain a master view of recurring engagements, deadlines and key milestones.
  1. Travel & Logistics
  • Plan and execute comprehensive travel arrangements for Moez Kassam, his family, and guests — including bookings for private aviation, commercial travel, ground transportation, and accommodations.
  • Develop detailed, day-by-day itineraries with briefings, contact sheets, and contingency plans, including managing RSVPs, seating arrangements and dietary preferences.
  • Manage all travel documentation, visas, loyalty programs, travel profiles, preferences and destination logistics.

4.Administrative Operations

  • Handle expense reporting, invoice management, and budget tracking for executive and personal accounts.
  • Manage and ensure timely processing and reconciliation of business expenses; coordinate vendor payments with Anson’s accounting team.
  • Manage and maintain physical and digital files, contracts, and records with precision.
  1. Personal & Family Affairs
  • Coordinate scheduling and manage personal appointments, family schedules, and household needs, including with household staff, vendors, and service providers.
  • Manage personal shopping, gifting, and special occasion planning.
  • Act as a trusted liaison between the principal and personal service providers, household staff, and vendors.
  • Handle ad-hoc personal requests with the highest level of discretion and care.
  • Manage and ensure timely processing and reconciliation of personal and hosting-related expenses, receipts and reimbursements.

Qualifications:

The ideal candidate possesses the analytical and communication skills necessary for a high-performance environment with organizational instincts, people fluency, and personal service orientation to operate across every distinct dimension of this role.

  • 5+ years of experience in a combined strategic or operational role in management consulting, investment banking, or private equity, or as Chief of Staff or EA-to-principal in a demanding, high-profile environment.
  • Demonstrated experience in high-touch personal and travel logistics coordination.
  • Extroverted and energized by people. You thrive in rooms with senior leaders, move comfortably across professional and social contexts, and have a track record of building relationships that go beyond the transactional.
  • Exceptional written and verbal communication skills. You write with clarity, economy, and conviction.
  • Polished and professional at all times.
  • Strong analytical instincts. Comfortable synthesizing complex information quickly and presenting it crisply.
  • Strong time management skills and the ability to manage competing priorities in a fast-moving, high-expectation environment through a proactive, solutions-first mindset.
  • Genuine curiosity about business, finance, and ideas. You read widely and think independently.
  • High comfort with ambiguity and the initiative to define your own path through it.
  • An active interest in AI tools and automation and productivity improvements.
  • Social media savvy — familiar with major platforms and able to assist with monitoring, coordination, or light content management.
  • Impeccable judgment, discretion, and integrity. You will have access to sensitive personal, financial, and professional information across every dimension of a high-profile principal’s life.
  • A high standard for your own work and a natural drive to raise the bar around you.
  • Flexibility to be available evenings and weekends as the role demands. This is not a 9-to-5 position.
  • Valid driver’s license and ability to drive as required.
  • Proficiency in the full Microsoft Office Suite — Outlook, Word, Excel, PowerPoint, and Teams.
  • Willingness to undergo a thorough background check and provide professional references.
