Reception & Office Administrator

Our client within private equity requires a Reception & Office Administrator to join their team. The position of Receptionist and Office Administrator is a full-time permanent position, reporting to the Office Manager. The successful candidate will perform a broad range of administrative duties including managing reception.

Responsibilities :

Reception

 

  • Welcome all visitors to the office,
  • Board & Meeting Room Management
    • Includes managing the room calendars, resolving room conflicts, and advanced preparation to ensure rooms are booked, materials are ready, IT is set up.
    • Monitor boardroom & meeting rooms to ensure order and cleanliness.
    • Proactively review partner (or all) calendars daily to anticipate meeting needs or external visitors.
  • Switchboard Management
    • Managing all incoming calls and directing them appropriately.
  • Co-ordinate, review, and distribute incoming and outgoing mail and courier services.

 

Administrative Support

 

  • Work collaboratively with and support the Office Manager and other executive assistants,
  • Work collaboratively with and support Workplace Coordinator, along with providing vacation/back up coverage to the Workplace Coordinator position.
  • Provide administrative support to a small group of the Investment team, including coordinating travel, group calendar management, and occasional preparation of meeting documentation etc.
  • Data Entry and Records Management
    • Maintain employees lists in databases (phone list, seating map, birthday, CRM, travel profile, pod lists)
    • Records tracking and document storage – on site and offsite storage,
    • Assist with CRM records/data maintenance.
  • Finance Team Support
    • Canada Post/Courier, Bank Deposits)

Qualifications:

  • Minimum 2 years’ experience as an Administrative Assistant,
  • Business Administration degree or diploma considered an asset,
  • Proficient in Microsoft Office, experience with Adobe Reader considered an asset,
  • A positive attitude, independent and strong work ethic,
  • Ability to multi-task and bring a creative approach to solving problems,
  • Highly organized with strong time management skills,
  • High attention to detail and accuracy,
  • Thrives in a fast-paced environment.
