Executive Assistant to the CEO

Our client is seeking an experienced and highly organized Senior Executive Assistant to the CEO. This is not a traditional administrative assistant position. The role will work directly alongside the CEO and will play an important part in helping manage priorities, communication, follow-up and execution across a growing organization.

The ideal candidate is proactive, discreet, structured and comfortable operating in an environment where priorities can change quickly. The successful candidate will help create structure around the CEO’s office and ensure that important actions, meetings and decisions are properly prepared and followed through.

Responsibilities :

  • Act as a trusted gatekeeper for the CEO by helping manage competing priorities, protecting focus time, identifying emerging issues and ensuring the CEO’s attention is directed to the matters that require it most.
  • Prepare meetings, including agendas, background information and relevant documentation.
  • Track actions and decisions resulting from management, customer and strategic meetings.
  • Ensure agreed actions are followed up with the responsible team members.
  • Coordinate communication and information flowing through the CEO’s office.
  • Support communication with key customers, suppliers, partners and other external stakeholders.
  • Organize domestic and international travel, including flights, hotels, meetings and itineraries.
  • Prepare presentations, correspondence, reports and briefing documents.
  • Support the CEO in maintaining visibility over key projects, priorities and deadlines.
  • Help create structure and accountability around management follow-up.
  • Coordinate special projects and strategic initiatives on behalf of the CEO.
  • Handle sensitive and confidential information with a high level of discretion.
  • Serve as a strategic connector between the CEO, internal teams and external stakeholders.

Qualifications:

  • Approximately 5–8+ years of experience supporting senior executives or C-level management.
  • Strong organizational and prioritization skills.
  • Strong interpersonal and diplomatic skills, with the ability to navigate sensitive situations and communicate effectively across all organizational levels.
  • Strong analytical thinking and the ability to identify patterns, priorities and potential risks.
  • Excellent written and verbal English communication skills.
  • The ability to work independently and take ownership.
  • A proactive attitude — identifying what needs to be done rather than waiting for instructions.
  • Strong attention to detail while maintaining an overview of broader priorities.
  • Confidence in dealing with senior management, customers and external stakeholders.
  • A high degree of discretion and professionalism.
  • Strong organizational awareness and business acumen.
  • Strong Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.
  • Experience working in a fast-paced or international business environment is considered an asset.
