Job Description:

Our client within investment management requires a Portfolio Associate to join their private client team. Reporting directly to the Relationship Manager and Head of Client Service & Business Development, the successful candidate will be responsible for working directly with their Relationship Manager to support and add value to each of their client relationships. Understanding the client life cycle is paramount to carry out an exceptional client service experience. The candidate will also work closely with other members of the team while executing the necessary requirements of the role. They will not be afraid to roll up their sleeves and must be a team player with excellent communication & multi-tasking skills.

Responsibilities:

Onboarding New Clients

  • Gathers information required from clients for the preparation of account opening documents and CRM set up.
  • Tracks on-boarding process.
  • Prepares all agreements and documents for signature, ensuring compliance with required standards. Provides custodian with all required information and monitors to ensure assets/cash are received and accounts are set up correctly. Ensures accurate information is input into the CRM and Portfolio Management System.
  • Follows up with the client on the progress of transferring of assets; identifies and resolves discrepancies.
  • Crosschecks client holdings to ensure data is accurately inputted and accounted for.

 

Servicing the Client and Assisting in the Management of Relationships

  • Manages relationships with clients on behalf of the RM where appropriate, including ongoing and regular client contact and communication. Consistently aims to provide “high-touch” services.
  • Requests information and documentation from clients to keep client files up to date. Prepares letters and client documentation for signature.
  • Responds to client requests and concerns, resolving any issues if warranted. (i.e. requests for cash).
  • Where applicable, provides timely and quality responses to client requests for information regarding their investments, tax or other accountant information; troubleshoots client problems.
  • Monitors client requests to ensure transactions are processed accurately by the custodian. Troubleshoots problems with the custodian when client requests/needs are not met and works with client to ensure their satisfaction.
  • Supports RM in producing and reviewing clients’ customized investment reviews/reporting updates.
  • Joins the RM when meeting with clients to establish goals and objectives, for portfolio reviews and client updates. Prepares CRM meeting notes, action items and prepares/ updates Investment Objectives letters.
  • Prepares, monitors and verifies all asset transfers to custodian to ensure accuracy and completeness (e.g. RSP transfers); keeping client up-to-date as required.
  • Provides support to relationship manager’s pursuit of prospective clients and new business opportunities from existing clients.

 

Wealth Planning

  • Responding to client requests and questions regarding variety of tax related matters including: RRSP & TFSA contributions, tax reporting, estimates of capital gains and losses
  • Stays current in wealth planning developments and trends; maintains all continuing education for licenses and certifications (if applicable).
  • Assist with the creation of “Feature Sheets” and other technical marketing materials, where appropriate.
  • Assists the client service team in the organizing

Qualifications:

  • Undergraduate degree in business, accounting, finance or equivalent experience.
  • 5+ years’ experience in the financial services industry.
  • Knowledge of the investment industry and related regulatory and compliance requirements
  • Understanding of investment concepts, analytics, and investment administration.
  • Exceptional organizational skills and record keeping skills.
  • Client focused. Can effectively communicate financial concepts while building trust, rapport, and credibility with clients.
  • Ability to be flexible, multi-task and prioritize effectively in a fast-paced environment.
  • Excellent written and verbal communications skills.
  • Exceptional interpersonal skills—ability to interact successfully with all levels of staff and clients with a positive, collaborative approach.
  • Above average proficiency with the Microsoft Office Suite is considered an asset.
  • Self-motivated with initiative to meet and beat deadlines
  • Organized, efficient, with a high attention to detail.
