Job Description:

Our client, a boutique investment management firm located in Yorkville requires a Receptionist to join their team.

Responsibilities:

  • Responsible for the reception of guests and answering switchboard
  • Booking the boardrooms for meetings
  • Planning and ordering of catered lunches on an as needed basis
  • Maintain reception area, mail room, photocopy room, boardrooms and kitchens.
  • Unloading third and second floor kitchen dishwashers
  • Receiving couriers, arranging for outgoing couriers
  • Assisting investors and potential investors and directing their calls to appropriate party,
  • Assisting with Investor Seminars
  • In charge of maintaining office equipment and ordering necessary supplies for machines
  • Order office supplies and stationary
  • Ensuring first aid kit is always maintained and updated
  • Order Coffee supplies and snacks for the office.
  • Maintain contact lists for employees and service providers
  • Receiving and distributing mail as well as posting and delivering outgoing mail as well as assisting with bulk mailings
  • Assist with miscellaneous correspondence on an as needed basis
  • Arranging for printing of materials as needed
  • Maintaining and balancing petty cash

Qualifications:

  • Strong verbal and written communication skills
  • Ability to multi-task
  • Excellent interpersonal skills
  • Switchboard/Reception experience
  • Administrative office work experience
  • Proficient in Microsoft Office (Excel, Outlook, Power point and Word)
  • Secondary education diploma
