Job Description:

Our client requires a Property Manager to join their team. The Property Manager’s primary job function is to oversee the day-to-day operations of an assigned portfolio of commercial and industrial properties including, but not limited to, ensuring that all properties are well-maintained and operated in compliance with all regulatory requirements, responding to tenant inquiries and concerns in a timely and courteous manner, conducting regular site inspections of all assigned properties, tendering and awarding maintenance and service contracts, preparation of annual budgets, reporting on operating costs and performing monthly budget vs. actual analysis. Under the direction of the Vice President of Leasing, the Property Manager will be relied on to build and maintain a best-in-class level of service for the assigned properties and to ensure that new tenants’ first experience and existing tenants’ ongoing experience exceeds expectations. As such, this position requires a high level of attention to customer service along with a level of professionalism that strives to set the benchmark for property management within the industry.

Responsibilities:

 

  • Oversee the day-to-day property management operations of the assigned properties.
  • Conduct regular property inspectionsincluding inspection of vacant units and new tenant spaces to ensure compliance with tenant build-out policies and procedures.
  • Ensure that all assigned properties are in compliance with building codes, regulations and governmental agency directives.
  • Respond to tenant maintenance requests and concerns in a timely and professional manner, and follow-up with the tenant to ensure satisfactory completion/resolution of the maintenance request/concern.
  • Work closely with the leasing team to assist with all tenant move-ins and move-outs including but not limited to conducting pre/final inspections with tenants, completing vacant unit checklist, coordinating clean up, repairs and landlord’s work for new tenant move-ins or for marketing the space, lock changes, etc.
  • Identify deficiencies and recommend, develop and implement preventative maintenance programs for all assigned properties.
  • Schedule and coordinate all required capital improvement projects and regular repairs on the properties with vendors and in-house maintenance personnel including inspection of completed work to ensure compliance with scope of work and satisfaction with quality of work.
  • Keeping team members aware and informed of any on-site and tenant issues as well as progress of any maintenance/capital projects.
  • Tender, negotiate and award maintenance and service contractsfor regular seasonal programs (such as snow removal and landscaping).
  • Generate all work/purchase orders and review all invoices from vendors to ensure accuracy and that proper codes are being utilized in accordance with internal accounting procedures.
  • Liaison with the accounting team and assist with tenant chargebacks and year-end reconciliations.
  • Establish appropriate short-term and long-term property improvements and associated expenditures for each property that align with immediate and long-term redevelopment plans for the assigned properties.
  • Take the lead on preparing annual budgets including but not limited to reviewing building condition reports, forecasting building requirements, obtaining quotes for capital projects and preventative maintenance programs, scheduling expenditures, analyzing data and variances from previous budgets.
  • Prepare and circulate tenant memos and notices and escalate tenant matters to leasing when appropriate.
  • Enforce building policies and procedures with non-compliant tenants and ensure leasing is aware of any tenant non-compliance.
  • Ensure immediate attention is provided to urgent on-site and tenant matters as well as 24-hour emergency response including coverage during absence.
  • Provide support to other property managers, property administrator, and maintenance personnel as needed.
  • Provide input and support for due diligence of investment opportunities and redevelopment projects as required.
  • All other duties associated with the day-to-day operations of the assigned properties and the entire portfolio as needed.

Qualifications:

 

  • Exceptional interpersonal skills demonstrating the ability to work with a team of professionals committed to the delivery of excellent customer service both with internal and external stakeholders.
  • Ability to communicate professionally and efficiently as well as having a positive and proactive attitude towards tasks, deadlines and challenges.
  • The ability to work under pressure and be self-motivated, while having exemplary time management skills and being detail oriented.
  • Post-Secondary Degree or Diploma in property management.
  • Hands on experience in commercial/industrial property management.
  • Strong computer skills and working knowledge of MS Outlook, Word, Excel, and PowerPoint.
  • Experience with YARDI would be an asset.
  • Valid driver’s license and reliable vehicle is required as properties are located throughout the GTA.
