Job Description:
Our client within executive search requires an EA/Project Coordinator to join their team. This person will also be responsible for IT in concert with the IT Consultant, as well as facilities coordination with property management.
Responsibilities:
- Manage all aspects of multiple search projects with a strong attention to detail, while maintaining accuracy and efficiency.
- Coordinate and schedule meetings, both internal and external, as well as client/candidate meetings.
- Manage calendars, including coordinating travel arrangements for Executives and candidates.
- Prepare correspondence, reports, presentations, memos, letters, expense reports and other documents as required.
- Update and maintain CRM database with all marketing, client and general activities. \\
- Respond to emails and voicemails as required.
- Greet visitors and assist with meeting room bookings (set up and clean up; including catering requests as required).
- Relieve the Executives of administrative matters wherever practical.
- Provide general administrative support, e.g. manage receivables and assist with special projects as required.
- Maintain office/Xerox supplies as needed.
- Provide IT support and troubleshoot issues.
- Provide support to the Office Manager as needed.
Qualifications:
- Established experience as an Executive Assistant supporting Senior Management in a professional services environment with frequent client interaction.
- Ability to prioritize and successfully complete tasks while working in a fast-paced environment with multiple demands.
- Able to handle sensitive and confidential information with tact and diplomacy.
- Demonstrate excellent communication skills, both oral and written, including exceptional proofreading skills.
- Ability to work independently and as a team.
- Excellent attention to detail with a high degree of accuracy.
- Superior organizational and multi-tasking skills.
- High degree of proficiency in standard office applications including Outlook, Word, PowerPoint, Excel, etc.
- Familiar with online video applications such as Zoom and Teams.
- Experience working with a CRM database is an asset.
