Job Description:
Our client, a private family office requires an Administrative Assistant to join their team. Reporting to the President. This individual will work with the Family Office Controller and Sr. Executive Assistant, as well as other team members, to provide high quality support and execute a variety of responsibilities as outlined below. This is an exciting opportunity for a driven professional keen to contribute to the next chapter of the team’s evolution.
The successful candidate will have at least 2 years of experience in a similar role, where they have honed excellent interpersonal and strong written and oral communications skills, and demonstrated proactivity, attention to detail and hyper-organization, as well as the ability to thrive in a fast-paced setting with flexibility to assume a variety of responsibilities as needed.
Responsibilities:
- Support the ongoing maintenance and vendor management of four residences. Work closely with Property Managers to ensure residences are well maintained according to the schedule. Project Manage any emergency maintenance alongside the PMs
- In collaboration with the Senior EA, manage travel logistics for the family (6 people) as requested
- Maintain and update the online art portal to ensure that assets are accounted for. Coordinate with partners to ensure art is tracked between locations
- Support the Controller by tracking expenses and providing backup for online credit card payment management.
- Create and manage trackers for all personal and household renewals (tax, insurance, passports etc.)
- Support philanthropic initiatives
- Assist with corporate and executive projects as needed
Qualifications:
- Post-secondary education is required
- Minimum 2 years’ related experience in administration in a corporate environment with a fast pace (experience in the finance industry would be an asset)
- Detail oriented self-starter with a high level of organizational and time management skills
- Must be able to prioritize effectively and seek out solutions as needed
- Collaborative team player with strong interpersonal skills and the ability to coordinate and communicate with employees at various levels in the organization
- Effective verbal, writing and listening communications skills
- Must apply superior judgment and discretion in handling of sensitive and confidential documentation
- Proficiency with Microsoft applications (Microsoft Office, Word, Outlook, Excel, and Power Point)
- Polished and professional demeanor with the flexibility to assume a variety of roles as dictated by priorities at that time
- This is a remote-first role
