Job Description:

Our client within pharma data analytics requires an Executive Assistant to join their team. This role will support the President.

Responsibilities:

  • Extensive calendar and inbox management; being able to prioritize items by importance and flag/respond accordingly
  • Taking meeting minutes and noting deliverable timelines
  • Project management – keep executive on track to ensure important deadlines are being met
  • Booking travel both business and personal
  • Managing inventory, ordering office supplies
  • Liaise with vendors and property management when required
  • Assist with PA duties such as passport/insurance renewals, arrange appointments, etc.

Qualifications:

  • 5+ years of Executive Assistant experience
  • Resourceful and always one stage ahead of what’s needed
  • Extremely organized and an effective multitasker
  • Technically inclined, able to use programs to streamline processes and create efficiencies
  • Ability to gatekeep and help prioritize a busy executives day
  • A creative and critical thinker who can proactively identify opportunities for improvement
  • A trusted partner who can exercise independent judgment and discretion in dealing with confidential matters
  • Demonstrate a passion for managing multiple priorities, solving challenging problems
  • Demonstrated ability to prioritize tasks based on comparative importance and urgency
  • Excellent interpersonal skills and a demonstrated ability to build effective relationships and work collaboratively in a team environment
  • An excellent verbal and written communicator
  • Advanced MS Office skills
  • Salesforce experience an asset
