Downtown professional services firm require an Office Coordinator to join their company. The Office Coordinator will help create a more productive work environment, while ensuring that the corporate office gets the support it needs. This position is a well-organized, detail-oriented individual who is able to manage multiple projects at once in a fast-paced environment.
Key responsibilities and oversight:
• Manage the schedule for all company conference and meeting rooms, ensuring that executive meeting needs are always met
• Ensure that all company-wide internal correspondence is distributed as paper memos and also posted on the company intranet
• Maintain the stock levels for office and break room supplies and submit purchase requests to management when necessary
• Coordinate and plan company social events that take place during and after business hours
• Answer phones and greet and direct visitors appropriately
• Reception duties: Direct and respond to correspondence and telephone inquiries, couriers, ad hoc duties 
• Manages telecommunication and IT support at Corporate office 
• Keeps legal documentation organized by establishing and organizing files; inputting information into file database 
• Manages travel logistics for Corporate team as well as expatriate employees
• Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
• Maintain Office equipment and supplies- photocopiers, printers, faxes and furniture, managing and ordering stationery stock, printing requirements

Desired Skills & Experience:
• 2+ years’ experience in office administration
• Strong organizational and time management skills
• Excellent verbal and written communication abilities
• Proficiency with MS Word and MS Excel
• Strong sense of discretion and professionalism
