Financial services company downtown requires a Senior Administrative Assistant to join their team.


• Extensive calendar management including scheduling/rescheduling regular and ad hoc business meetings, videoconferences and webinars, and managing meeting resources
• Answer a multi-line phone and take messages and re-direct calls
• Plan and coordinate large business meetings/events, both on and off site, including managing location booking, catering, guestrooms and other meeting resources
• Manage travel arrangements including booking flights, hotels, cars and coordinating itineraries
• Set up orientation calendar, prepare work orders for Facilities/IT for office set-up and technology for senior level new hire
• Prepare meeting agendas, take meeting notes as required, transcribe flip chart notes, prepare meeting minutes
• Prepare PowerPoint presentations for leadership team
• Set up videoconferencing for meetings
• Prepare and submit expense reports in timely manner
• Code and track invoices and submit for payment in timely manner
• Sort and distribute incoming and outgoing mail and faxes
• Order and distribute supplies, photocopy and scan documents and maintain filing system
• Prepare and distribute internal communications (letters, posters etc.)
• Prepare monthly/quarterly/annual and ad hoc reports
• Special projects as assigned


• Minimum 3 years’ experience supporting senior management in a similar role
• Must be able to maintain positive working relationships with others both internally and externally
• Strong problem solving skills
• Work cooperatively with other Administrative Assistants to ensure proper workflow and coverage
• Excellent interpersonal skills
• Strong written and oral communication skills
• Highly organized and detail oriented
• Must be able to prioritize effectively to meet deadlines
