Boutique law firm downtown requires an Executive Legal Assistant to provide and ensure seamless support of the Senior Partner. This is a pivotal role in managing communications between clients and the Senior Partner, requiring the Legal Assistant to use professional judgment and discretion at all times. The incumbent also acts as Office Manager liaising with outside suppliers to ensure 24/7 IT support for all office staff and taking responsibility for eTransfers, postings to account files and payments to vendors.

Responsibilities and Duties: 
• Prepares documents, draft agreements, letters and memorandums as instructed, by:
• Taking dictation for contents of documents, preparing drafts for review by the Senior Partner making revisions and presenting final documents for signature
• Researching issues pertaining to draft documents, including review of precedents and client histories as needed for inclusion in written documents
• Opening new client files, preparing and sending retainer letters
• Opening written and electronic mail on a daily basis
• Prioritizing incoming mail and preparing files for Senior Partner’s review, noting items that require immediate attention
• Preparing responses upon instruction and presenting such to Senior Partner in a timely fashion
• Answering general inquiries and sending appropriate responses
• Making sure the “Bring Forward” file is reviewed on a daily basis
• Filing copies of documents including emails in relevant client files
• Ensuring that the Senior Partner’s schedule is kept current and reviewed by the Legal Assistant and Senior Partner on a daily basis so that client files, meeting agendas and other pertinent documents are ready for the following business day
• Ensuring that dockets are completed and entered into the billing system
• Taking client calls, noting reasons for call and bringing urgent issues to Senior Partner’s attention
• Proactively assembling information for Senior Partner’s follow-up with clients
• Arranging meetings, coordinating attendance with other members of X and/external resources, notifying clients in an appropriate way.
• Acting as the point person for IT services, including Dream, Digitcom and tech support
• Assisting office users with minor IT issues and all PC Law issues
• Accepting eTransfers and posting payments to appropriate files
• Posting expenses to files and issuing payments to vendors

Skill & Qualifications
• Minimum of a three-year Bachelor of Arts degree
• Two or more years working as a Legal Assistant in a wills and estates practice
• Proficiency in PC Law
• Solid knowledge of current legal terminology
• Excellent Microsoft Office skills
• Strong dicta transcription skills
• Strong proofreading skills
• Exceptional ability to multi-task and work with changing priorities
• Works well with minimum supervision 
• Well organized, punctual, demonstrated ability to work well under deadline pressure
• Highly professional with a proactive nature
• Discrete and accountable
• Team player
• Ability to take constructive criticism and learn from successes and failures
