Our client, a financial services firm located downtown requires an Executive Assistant to provide full administrative support to the SVP & Chief Financial Officer and their team.  This highly corporate position provides administrative support such as: compile, edit and finalize executive presentations; manage / coordinate calendars;  coordinate meetings; make conference and travel arrangements; coordinate budget information; plan team activities and events; manage catering.

DUTIES AND RESPONSIBILITIES

  • Provide complex meeting and scheduling support for SVP & CFO
  • Prepare meeting materials and coordinate agendas, minute taking may be required, but not always necessary
  • Schedule meetings in advance; requires familiarity with annual corporate timelines/activities and divisional priorities
  • Proof read documents to ensure accuracy and clarity of content; ensure conformity to layout and format
  • Prepare outgoing committee mail-outs as needed, and distribute copies
  • Assist with budget preparation
  • Make travel arrangements as needed. Handle group registrations for conferences, flights and hotels
  • Plan and co-ordinate offsite meetings, group, project and team events when required
  • Review incoming correspondence, highlighting issues of importance for immediate attention and assist in managing email in-box
  • Prepare monthly expense reports
  • Arrange onsite and offsite meetings and events. Order catering; process and approve invoices
  • Other related duties as assigned

REQUIREMENTS

  • Advanced knowledge of Microsoft PowerPoint, Word and Excel
  • Extensive experience managing complex calendar management
  • 5+ years providing administrative support at the executive level within professional services
  • Strong customer-service orientation
  • Ability to be diplomatic, tactful and use discretion
  • Strong ability to work with others and independently while demonstrating initiative
  • Excellent written, verbal and interpersonal communication skills; very detail- oriented
  • Excellent time-management and organizational skills and ability to prioritize tasks in a fast – paced environment
  • Demonstrate good judgment and problem-solving skills
