Luxury Golf Club requires an Executive Assistant to support the Managing Director. In this role. the primary responsibility is to enhance the Director’s efficiency and effectiveness. The successful hire will be expected to do so by providing information, management support, representing the Director to others, and providing other secretarial and administrative support in a well-organized and timely manner.

Core Accountabilities

Project Coordination:
• Plans and directs all strategic initiatives for the Managing Director
• Organize and prioritized critical steps for the Managing Director to facilitate efficient decision making
• Strong focus on project timelines, milestones, take aways, action points and deliverables

Information Preparation:
• Prepare information and visual aids for internal and external distribution to support effective and efficient information flow which may include 
• Writing letters and emails, 
• Compiling data for reports, 
• Creating presentations, 
• Editing & proofreading 

Communication Liaison:
• Prioritize and screen phone calls, emails and mail
• Prepare agendas and track action items
• Complete and circulate meeting minutes as required
• Summarize reports and memos 

Records Management:
• Manage credit card spend 
• Enter expense data into accounting system
• Ensure supporting documentation is filed appropriately

Schedule Management:
• Book travel, meetings, events and other appointments
• Manage calendars 

Office Management:
• Greet all internal/external guests, offer support and direct enquiries
• Ensure appropriate office supply inventory 
• File and organize office documentation

Qualifications:
• A minimum of five years’ experience as an Executive Assistant
• Confident, dynamic professional who shows initiative while working alone or in a team setting
• Basic accounting skills
• Diploma or degree in a college or university related field
• Highly responsible and able to handle confidential information with the utmost discretion
• Highly organized and able to prioritize and meet deadlines in a fast-paced environment
• Professional telephone manner and demeanor with a natural response to ‘smile’ on the phone
• Excellent interpersonal, written and verbal communication skills
• Computer literacy, with a strong knowledge of MS Office
